RFQ template FAQs
What is an RFQ (request for quotation)?
A request for quotation (RFQ) is a document a buyer sends to one or more suppliers asking them to quote prices for a defined list of items or services. It specifies what is needed, quantities, and terms, and leaves the unit price and total columns blank for each supplier to complete and return.
How is an RFQ different from a purchase order?
An RFQ asks suppliers what they would charge, the pricing columns are blank for the supplier to fill in. A purchase order commits to buy at an agreed price once a quote is accepted. In short, the RFQ comes first to gather quotes, and the purchase order follows once you choose a supplier.
How do I create an RFQ?
Enter your company and contact details, an RFQ number, the issue date, and the quote submission deadline. Add each item with a description, quantity, and unit of measure. Add your commercial terms and, optionally, evaluation criteria, then download the RFQ as a PDF or Excel file to send to suppliers.
Can I download the RFQ as Excel or PDF?
Yes. You can download the completed RFQ as a PDF or as an Excel (.xls) file with blank unit price and total columns for suppliers to complete, and you can also download a blank RFQ template to fill out later.
